An Excel register of every controlled document: number, title, type, owner, current revision, effective date and where it lives. Formulas work out each next review date and flag documents that are overdue or due soon, so the list doubles as your review schedule.
Document controllers and quality managers in plants that manage controlled documents in shared folders or on paper, and anyone preparing for an audit who needs to show which revision is current.
Set it up when you start controlling documents, update it every time a document is released, revised or made obsolete, and check the summary each month and before every audit.
Tip: Change the due-soon window at the top of the sheet (30 days by default) to match how far ahead owners need to start a review.

| Next review / Status | Calculated: effective date plus interval, compared with the as-of date. Do not type over these cells. | 2026-07-15 / Due soon |
| Location | Where the controlled copy lives: system path, binder or station. | QMS share / Procedures |
| Change ref | The ECN or change request behind the current revision. | ECN-2026-041 |
Not by name. It requires documents to be identified, version-controlled and available, and a master list is the most common way to show that. Document control software that lists current revisions serves the same purpose.
Usually not. Records such as completed forms are evidence, not controlled documents. Many companies keep a separate records retention list showing each record type, where it is kept and for how long.
ISO 9001 does not set an interval. Choose one per document type, and review earlier when a process, product or requirement changes.
List them with their source and the revision you are using, name an owner who checks for updates, and mark them External so they are counted separately.
The blank sheet uses TODAY() by default. The cell can be overwritten with a fixed date to reproduce the status on a past date, for example the day of an audit.
